Terms & Conditions

These Terms & Conditions ("Terms") govern the tutoring and educational support services offered by Northmind Studies ("Northmind Studies," "we," "our," or "us"). By scheduling, purchasing, or participating in our services, you agree to be bound by these Terms.

1. Services

Northmind Studies provides tutoring and educational support services, with a primary focus on STEM subjects including mathematics, physics, and computer science. We may also provide resources, referrals, or limited academic support guidance for other subjects such as English, social studies, history, and writing.

2. Service Format and Availability

Services may be offered online or in person. In-person tutoring is generally limited to parts of North Delaware, including Wilmington, Claymont, New Castle, Hockessin, Pike Creek, Newark, Bear, Glasgow, Middletown, and down to Smyrna. Online tutoring may be available worldwide.

In-person availability may depend on location, scheduling capacity, and other practical considerations.

3. Scheduling

Consultations and tutoring sessions may be scheduled through Calendly, email, or other approved communication methods. Session times are not guaranteed until confirmed.

4. Payment Terms

Payment is due within three weeks after a completed session unless otherwise agreed in writing. Accepted payment methods may include Zelle, Venmo, Cash App, and cash for in-person sessions where appropriate. Additional payment methods, including PayPal or Stripe, may be introduced in the future.

If payment is not received within the stated three-week period, Northmind Studies reserves the right to add a late fee equal to 50% of the outstanding balance and to pause future services until the outstanding balance is resolved.

5. Refund Policy

No refunds will be issued for completed tutoring sessions.

6. Cancellations, Late Arrivals, and No-Shows

For virtual sessions, cancellations are allowed up to 10 minutes before the scheduled start time. Any virtual cancellation made after that point may be charged 50% of the session fee.

For in-person sessions, cancellations are allowed up to 1 hour before the scheduled start time. Any in-person cancellation made after that point may be charged 50% of the session fee.

If a client is 10 minutes late without notice, Northmind Studies may call and/or email to check in. If 20 minutes pass from the scheduled start time with no notice from the client, we reserve the right to cancel the session and charge the full session fee as a no-show.

If Northmind Studies cancels a scheduled session, we may offer a makeup session at 50% of the session fee. If Northmind Studies or any authorized representative fails to appear for a scheduled session without notice, the client will be offered one free makeup session.

7. Academic Outcomes Disclaimer

Northmind Studies is committed to providing thoughtful, high-quality tutoring and educational guidance. However, no tutoring service can guarantee a particular academic outcome, including but not limited to specific grades, test scores, class placement, admissions decisions, scholarship awards, or other educational results.

Tutoring sessions are only one part of a student’s academic development. Most sessions are limited in duration and frequency, and student improvement depends significantly on attendance, effort, participation, study habits, independent practice, and follow-through outside of scheduled sessions. While tutoring may improve a student’s chances of academic growth and stronger outcomes, all results will vary.

8. Parent/Guardian Booking Requirements

If a student is under the age of 18, or is 18 years of age or older but still enrolled in high school, a parent or legal guardian must book the session and remain the primary responsible party for scheduling, communication, permissions, and financial obligations.

9. In-Person Session Safety and Supervision

For in-person tutoring sessions held at a client’s home, at least one parent or legal guardian must be present in the home for the full duration of the session.

For in-person sessions held in public locations such as libraries, cafes, or college or university centers, parents or legal guardians remain responsible for transportation and pickup arrangements. If a parent or legal guardian wishes for a minor student to leave or remain unattended after the session, explicit written permission must be provided in advance.

If such written permission is not provided and the student is not picked up promptly, Northmind Studies reserves the right to charge additional fees for extended supervision time, where applicable.

10. Conduct and Right to Refuse Service

Students, parents, guardians, and clients are expected to engage respectfully and appropriately. Northmind Studies reserves the right to pause, end, reschedule, or refuse services in response to abusive, harassing, threatening, unsafe, disruptive, or otherwise inappropriate conduct.

11. Educational Materials

Northmind Studies may provide custom notes, worksheets, examples, or other educational materials. Clients and students may use these materials for their own personal educational purposes.

12. Third-Party Platforms

Our services may involve third-party platforms for communication, scheduling, payments, and virtual tutoring, including Calendly, Gmail, Zoom, Google Meet, Venmo, Zelle, Cash App, PayPal, and Stripe, as applicable. Use of those platforms may also be subject to the separate terms and privacy policies of those providers.

13. Limitation of Liability

To the fullest extent permitted by law, Northmind Studies shall not be liable for indirect, incidental, consequential, special, or exemplary damages arising out of or relating to the use of our website, services, or tutoring sessions. Our total liability, if any, shall not exceed the amount paid for the specific session or service giving rise to the claim.

14. Changes to These Terms

We may update these Terms from time to time. Updated versions will be posted with a revised effective date. Continued use of our services after changes are posted constitutes acceptance of the updated Terms.
